1. Who We Are

GymFloor AI Ltd ("GymVoice", "we", "us") is registered in England and Wales (Company No. 17128474). We are the data controller for personal data collected through the GymFloor app, website, and related services. Contact: privacy@gymfloor.ai

2. What Data We Collect

App users:
— Name and email address (account creation)
— Home gym selection (via Google Places)
— Mood and energy level (selected each session)
— Workout history and exercise preferences
— Voice input during sessions (processed in real time, not stored as audio)
— Apple HealthKit data (only if you grant permission — not stored on our servers)
— Device identifiers and usage analytics

Gym operators:
— Business name, contact name, email and address
— Payment information (processed by Stripe — we do not store card details)
— Gym floor layout and equipment data

Referral programme participants:
— Name and email address (registered directly with Tolt)
— Referral activity and conversion status shared with Tolt to trigger commission

App Clip users:
— Minimal data only — gym selection and session start. No account required. Data is not retained after the session unless you download the full app.

3. How We Use Your Data

— To build and deliver personalised workout sessions
— To adapt sessions based on your mood and the equipment in your gym
— To provide voice-guided coaching during your session
— To track your workout history and progress
— To process gym operator subscriptions and payments
— To manage referral commissions via Tolt
— To send push notifications (you can disable these in iOS Settings at any time)
— To improve the app using anonymised analytics

We do not sell your personal data. Ever.

4. Third Parties We Share Data With

Firebase (Google) — App infrastructure, authentication and database. firebase.google.com/support/privacy

xAI (Grok) — AI workout generation. x.ai/privacy

Stripe — Payment processing for gym operators. stripe.com/privacy

Tolt — Referral programme platform. Referrers register with Tolt directly and claim payments through Tolt. GymFloor shares conversion data with Tolt to trigger commission payouts. Tolt's privacy policy governs all payment data. tolt.io/privacy

Apple — App distribution and HealthKit integration. apple.com/privacy

All third parties are contractually bound to protect your data and may not use it for their own purposes.

5. Your Rights Under UK GDPR

You have the right to:
— Access — request a copy of your personal data
— Rectification — correct inaccurate data
— Erasure — request deletion of your account and all associated data
— Portability — receive your data in a machine-readable format
— Object — to processing based on legitimate interests
— Withdraw consent — at any time where processing is consent-based

6. Account and Data Deletion

You can delete your account and all associated data at any time via the app (Profile → Settings → Delete Account) or by emailing privacy@gymfloor.ai. Deletion is processed within 30 days.

7. Data Retention

— Active accounts: retained while your account exists
— Deleted accounts: purged within 30 days
— Payment records: retained for 7 years (legal requirement)
— Referral records: retained for 2 years after last activity

8. Data Security

We use industry-standard security including encrypted data transmission (TLS), Firebase security rules, and access controls. If you believe your account has been compromised, contact us immediately at privacy@gymfloor.ai

9. Children

GymFloor is not intended for users under 16. We do not knowingly collect data from children. If you believe a child has created an account, contact us and we will delete it promptly.

10. Changes to This Policy

We may update this policy from time to time. We'll notify you of significant changes via the app or email. Continued use of the app after changes constitutes acceptance.
